Workflow automation

The admin nobody has time for. Handled.

We automate repetitive work around enquiries, follow-up, documents and reporting — using the tools your team already understands.

Bring us one repetitive process. We’ll identify three practical improvements and recommend the best first step.

What we actually solve

The work that eats the week.

None of this is glamorous, and all of it is expensive. These are the operational problems that come up in almost every business we sit down with.

Enquiries that are not answered, or not followed up

Re-entering the same information between WhatsApp, email and spreadsheets

Booking confirmations and reminders sent by hand, one at a time

Preparing quotes, proposals or routine documents from scratch every time

Chasing clients for the same information at the start of every job

Producing the same recurring report, manually, every month

Hunting for one fact across years of company documents

Five worked examples

Before, and after.

Concrete rather than conceptual. Each of these is a single process, scoped and delivered on its own — not a company-wide programme.

01

Enquiries that arrive everywhere at once

What it looks like now

Enquiries come in through the website form, WhatsApp, a phone call and someone's personal inbox. Nobody has one list, so one of them quietly goes unanswered for three days.

What we change

Every enquiry lands in one place with the source, the time and who it belongs to. Anything unanswered after your own agreed window gets flagged to a human, so nothing sits unnoticed.

02

Bookings, confirmations and reminders

What it looks like now

Someone books, and then a person has to remember to confirm it, remember to remind them the day before, and remember to follow up when they do not arrive.

What we change

The confirmation goes out when the booking is made, the reminder goes out before the appointment, and a no-show creates a follow-up task instead of vanishing.

03

The same information, typed in three times

What it looks like now

A client's details get typed into WhatsApp, then into an email, then into a spreadsheet — and the three copies start disagreeing with each other within a month.

What we change

The details get captured once and flow to wherever they are needed. One record, one truth, and no afternoon spent working out which version is right.

04

Quotes, proposals and the routine documents

What it looks like now

Every quote starts by opening last month's quote, changing the name, and hoping nothing was missed in the find-and-replace.

What we change

A draft is prepared from your own templates and the details already captured, ready in your usual format. A person reads it, adjusts it and sends it — the drafting is what gets automated, not the judgement.

05

The monthly report someone rebuilds by hand

What it looks like now

The same figures get pulled from the same places, pasted into the same layout, every single month, by someone whose time is worth considerably more than that.

What we change

The report is assembled from the same sources on a schedule and delivered to whoever needs it. When the numbers look wrong, you find out on the first of the month rather than the fifteenth.

How we work

Review, sprint, care.

One process at a time, with a clear scope at each stage. You are never asked to commit to a programme before you have seen something working.

Enquiry & Admin Review

We map one recurring problem, identify the best opportunities and recommend a sensible first project. You get the findings whether or not you go ahead with us — three practical improvements and the one we would start with.

One-Workflow Sprint

We design, build and test one useful automation around a real business process — with a clear scope and handover. One process, done properly, in the open, so you can judge the next one on evidence.

Ongoing Care

We monitor, maintain and improve your website and workflows as the business grows. Processes drift, tools change, and someone has to notice — that is us.

A person still signs off

Automation does the fetching, the typing and the remembering. It does not decide what to say to your client. Anything that reaches a customer is prepared as a draft for a person to read, adjust and send — that is the default, and it stays the default unless you ask us to change it for something specific like an appointment reminder.

Where a step genuinely does run unattended, you get told exactly which step, exactly what it sends, and how to switch it off.

Request a scoped quote

Handling your information

Plain rules, not a policy PDF.

Automating a process means touching your customers’ details. Here is how we work — stated as what we do, not as a badge.

Your data stays in your accounts

We build inside systems you own and control. Your customer information does not become ours, and it does not live somewhere you cannot reach.

Only the access we need

We ask for the narrowest access that does the job, we tell you what it is for, and we give it back when the work is done.

Nothing moves without you knowing

If a workflow needs to send information to a third-party service, we tell you which service, what it receives and why, before we build it.

It is documented and reversible

Every automation is written down: what it does, what triggers it and how to switch it off. You are never dependent on us to understand your own process.

We are not your compliance advisor

If your sector has specific legal or regulatory requirements, tell us and we will build to them — but we will not tell you that a build makes you compliant. That is your advisor’s call, not ours.

Ask us anything about it

If you want to know exactly where a piece of information goes, ask. We will show you rather than describe it.

What we connect

We start with what you already use.

Website enquiry forms WhatsApp Business email on your own domain Shared calendars Spreadsheets Document templates Website analytics and reporting Your hosting and domain

Those are the things we work with day to day, so we can speak about them with confidence. Anything beyond that list — a specific practice management system, an accounting package, an industry platform — we check during the review and tell you honestly whether we can connect it, before you are quoted. We would rather say “we need to test that first” than promise an integration we have not built.

Fair questions

Before you get in touch.

Do we have to change the systems we already use?
No. The starting assumption is that we automate around the tools your team already understands, because an automation nobody will use is worse than the manual process it replaced. If changing something genuinely is the right answer, we say so in the review and leave the decision with you.
Is this going to replace someone’s job?
In the work we do, it usually replaces the worst part of somebody’s job — the retyping, the chasing, the monthly rebuild — and gives that time back to the part that needs a person. We are not going to pretend we can promise anything about how you run your business, but that is what these projects have looked like in practice.
What does it cost?
There is no fixed price list. The review comes first, and the sprint that follows is quoted against the specific process it touches — with a written scope before anything gets built. Ask for a scoped quote and you will get one.
What if it breaks in six months?
Ongoing care covers monitoring and maintenance of what we built, and everything is documented and handed over. If you would rather run it yourself, you can — the documentation is written on that assumption.
Where does the website fit into this?
The website is usually where the enquiry starts, so the two halves belong together. See websites and enquiry systems.
